There are numerous ways to create availability for your activities. Using the pre-scheduler allows you to schedule an activity ahead of time even if there are no reservations currently booked for that activity. It will appear on your Flybook Calendar and it will also appear as an available date online (front end) to your customers.
To pre-schedule an activity,
- Click on your Calendar icon and on the Activities/Rentals view
- On the far right, regardless of the date you are defaulted to, select the Actions dropdown and Schedule Activities
- A "Pre Schedule Activities" pop-up should appear. Choose the activity you wish to pre-schedule from the dropdown (A preview of what you are adding will populate to the right)
- Designate a date and time you'd like your activity to start
Note: (optional) if you are going to have this repeat for more than one instance, check the Repeat box. You'll be prompted to select the days of the week it should repeat and through what date - When ready, click on Add Start Times (you'll have a chance to edit or add more)
- The system will add the days of the week based on your timeframe and generate a preview on your right. If you accidentally added a date, simply X it out or "Clear All Start Times" to start over
Note: this is also where you can continue to add more dates from the left, disable the front end capabilities (making it only available on the back end), and/or add a custom max capacity override - Once ready, click the large RED button titled "Press Once to Confirm Addition"
- Double-check that all looks good before now clicking on the BLACK button for Schedule Activities. Note: this is you last chance to review before making this new availability live
- You have now pre-scheduled those activities. You will be brought back to the same window in case you wish to pre-schedule more. If not, close out with the X in the top right corner
- Confirm that you now see the newly scheduled activities on your activity calendar (see below image as a reference to what it should look like)
- It's good practice to walk yourself through the front end to make sure you are seeing the new availability there too. This is what your customers will see so it might be a good idea to check
