Rentals | Open Hourly Rental Feature

Flybook has the ability to book hourly rentals with an open-end time. This is a great option for users that cater to walk up rentals and require a high speed sale process. It allows you to quickly add an open ended rental to a reservation. When the customer later returns with the rental, in just a few simple clicks, you can update the end time so the cost will be prorated based on your hourly rate for the rental item. 


Rental resources will now have a QR code associated with them that you can print off and affix to the resource itself and/or keep printed out at your check-in desk. You can scan the QR code to quickly add it to the reservation. 

 

Setup

After deciding which rental configs you want to offer as an open hourly rental item, there are two things you'll want to make sure you have done in the setup of that rental config. Those two things are ensuring that you have an hourly price set for that rental config and making sure you have the latest hourly return time set. 

  1. Start by going to Setup and select the Rentals option.

    *Note the exact placement of the Rentals button may be slightly different in your account based on what features of Flybook you're currently utilizing. 
  2. From your list of Rental Configs, select the name of the config that you want to offer as an open hourly rental item. 
  3. While on the General tab, make sure the checkbox "Use Hourly Rental Latest End Time" is selected and make sure the time selected from the drop-down isn't set to midnight (12am).

    If you don't have that checkbox selected or the time set to something other than midnight, do that now. 
  4. Next, go to the Pricing tab and make sure have an hourly price setup for this rental config.

    If you don't have an hourly price set, do that now by selecting the Action drop-down and select Add New Rule. Then click on the red text that says Pricing Rule to set your hourly rate.
  5. There are two different ways to pull up the QR code associated with your resources. You can (a) pull them up in the resource settings or (b) pull up the Print Friendly Scannable Codes report.
    a) To pull up the QR code for one specific resource:     
         - Go to Setup and then under Tools for Offerings select Resources

        - Select the name of the resource that you'd like to get the QR code for. You'll see the QR code on the right-hand side of the screen. You can right-click and save the image, copy the image,            or open the image in a new tab to print it. 
      b) To pull up all resource QR codes at the same time: 
         - Go to Reports, select Miscellaneous, and then select Print Friendly Scannable Codes. Select what size you want to print the codes and select Print.

Use

  1. Within a reservation, go to the Rentals tab

  2. Select the Quick Pick option

  3. Select Open Hourly Rental and select a rental config from the dropdown.

  4. Scan the QR code for the resource you want to rent as an open hourly rental to add the rental to the reservation.  
  5. When the guest has returned the rental item, navigate back to the Rentals tab.

  6. Select the check box next to the rental item and then go to the Actions drop-down and select Check In Selected Rentals And Update Billable/Drop Off End Time.

  7. You'll get a pop-up message confirming you want to make the change. Click Ok

  8. The end time of the rental and the price of the rental item will adjust based on the return time. You can then proceed to the Payments tab and take payment on the rental item if you haven't done so already. 

Checking a Resources Status by Scanning the QR Code

You can also scan a QR code of a resource to see what reservation the resource is currently being used on. Simply click the QR button in the top right-hand corner of Flybook and scan the QR code.

Recommended QR code Scanners

 A keyboard emulator 2D barcode scanner is required to read QR codes. Flybook has tested and can confirm the following scanners work with this feature:
