Tickets | Setup

The following article will help you set up and create a new ticket type.

  1. Go to Setup

  2. Next, under Tools for Offerings, you're going to select Ticket/Pass Pricing Rules. The reason we start here, and not just immediately into the Tickets button at the top of the setup page is that you will need to select your ticket pricing rule(s) during the ticket setup so it's easier to set up your pricing first.

  3. From the Action dropdown, select Add New

  4. Name your pricing rule and click Create

  5. Select the new pricing rule you created from the list of pricing options.

  6. The Edit Ticket/Pass Pricing Option window will option. On the General tab, be sure to check the Front End Enabled checkbox if this is a pricing option you want to be able to be used when selling these tickets online. Click Save

  7. Select the Pricing Rules tab and click Add New

  8. A new rule called "Pricing Rule" will appear in red text. Click it.

  9. This will open the Pricing Rule Editor window. Edit the base price to whatever the before taxes and fees price should be for this pricing option. If this is the standard/default price for this pricing option, click Save. If this is a special price, for example, a holiday weekend upcharge or an early morning discount. use the When Do You Want This Rule to Apply? options on the left before clicking Save. Once you've saved your pricing rule, click the little gray X in the top right-hand corner of the Pricing Rule Editor window.

    **Note: When selecting options under the When Do You Want This Rule to Apply? section, all of the options selected need to be true for the rule to apply. So if you were to select "On certain days of the week" and select Saturdays and Sundays and then also select "On Specific Dates" and select Tuesday, July 4, 20223, this pricing rule would never actually apply because the system would be looking to apply the rule when both being July 4, 2023 was true as well as being a Saturday or Sunday.

  10. Go to the Taxes/Fees tab and select any taxes or fees you've previously created from the drop-down and click Add. Once you've added all the taxes and fees you want to add, click the little gray X in the top right-hand corner of the Edit Ticket/Pass Pricing Option window.

    **Note: If you don't have any taxes or fees set up, or you need to add new ones, you can find instructions on how to do that HERE
  11. Go back to Setup and select Tickets at the top of the Setup screen

  12. From the Action dropdown, select Add New

  13. Name your Ticket, assign a Ticket Pool, and click Create.

    **Note: If you don't have any ticket pools already, or need to create a new one, click HERE
  14. Select the name of the ticket type from the list of ticket types.

  15. You'll then be brought to the Ticket Config tab. On this tab you can do the following: 
    • Update the name of the ticket type

    • Make a ticket type in active

    • Adjust the latest ticket end time which, for accounts that print the square ski lift style tickets, this will make it so no matter what time you start or print a ticket, the end time that shows up on the printed ticket will not be later than the time set here. This prevents people from having tickets that have end times past your closing time.
      If not printing tickets, this is still REQUIRED as it defaults to midnight (aka the start of a new day) and you can't have tickets with the latest end time earlier than start times.

    • Add extra time to tickets that will not be displayed as part of the duration of the ticket to the end customer. This is sometimes used to include time for something like a safety briefing but it's recommending you make clear to your customers that if, for example, you have 30 minutes set as that extra time and then the duration of your ticket is two hours, the customer should plan to spend at least 2.5 hours with you.     • Set this ticket type so that, on the front end only, customers don't pick their start times and instead are just assigned to the first available start time on the date they select

    • Change the assigned ticket pool

    • Set the ticket duration REQUIRED

    • Set the max number of days in advance that someone can book these tickets (optional)

    • Set a minimum about of time in advance someone needs to book these tickets (optional)

    • Set the "Book Now" urgency verbiage threshold. The default is 15 which would mean when there are 15 or less tickets available for a start time the front end will show "Only X left!". You can change the number that urgency shows at but it way always show if it's less than 5 ticket left. (optional)

    • Set the max age that will print on someone's ticket (optional if not printing tickets)

    • Set the color these tickets show on the backend tickets calendar. (optional)

  16. The next tab is Redeemable Items. This is an optional step but if you'd like to learn more about using Redeemable Items, click HEREScreen_Shot_2023-05-24_at_11.29.26_AM.png
  17. Next is setting your confirmation, reminder, and thank you emails. If using the new email feature (released early 2023) you can find out more information about that HERE. The below screenshot is using the new email feature. If you're using the old email feature, you can find out more information about that setup HERE

  18. The next step is customizing what your printed tickets look like. This only applies to accounts printing tickets on the square ski-lift style tickets using Flybook Cloud Print. If you're printing tickets, you can skip this step.
    Below is a demo video showing you how to add, remove and resize items that are printed on the tickets. Please make sure to click Save when done.
