Client Terminal Security Enhancements and Invite Link Updates

Flybook recently enhanced the security around Client Terminal access to better protect personal identification information. These improvements change how your customers will access their Client Terminal, but the workflow for staff remains very similar.

What is changing for Flybook users on the backend

When you open a reservation on the backend, the View Terminal button will look slightly different.
It functions exactly the same way it always has. You can still use it to view the Client Terminal exactly as your customers see it, including confirmation and reservation details.

If you are using the Smart Terminal, you can still select Go to Full Terminal to view the full version.

You can include the client terminal link in custom emails/texts to clients, but  it's important to note that the client invite link should be treated like a password, aka, don't share it with anyone unless you know they should have access to the client terminal. 

What is changing for your customers

Your customers can now invite other guests to access the Client Terminal using an invite link. This replaces the previous PIN number to access the full client terminal. 

When a guest opens this invite link, they will be prompted to provide:

  • Name

  • Email

  • Phone number

This will add them as a client on the reservation so they can complete waivers and/or answer client terminal questions. 

If they select Full Terminal, they will also be required to verify their identity through a text message or email code before gaining access.

It's also important to note that the invite link will only work if a reservation has a valid event that is scheduled for the future. This means you cannot invite someone to a reservation that's in the past.

What We Recommend You Do

To help your guests access the Client Terminal smoothly and reduce friction created by the new security updates, we suggest a few simple configuration steps.

1. Collect phone numbers for all payments
The new 2 step verification flow requires a mobile number. Make sure your payment forms and reservation questions include a required phone field so guests can receive their security code without issues.

2. Turn on Smart Terminal if you are not already using it
Clients can reach the Smart Terminal version of the Client Terminal without entering the texted verification code. From Smart Terminal, they can still make payments, answer reservation questions, and sign waivers. Enabling it gives guests an alternate path if they have trouble receiving the verification text. 3. Add the {{InviteLink}} variable to your confirmation (and optionally reminder) email templates
This link lets guests invite themselves to the full Client Terminal. Adding it to your automated emails helps ensure every guest gets easy access to their reservation details and any required actions.
